Completing New Hire Paperwork

You will meet with a member of the Human Resources (HR) team within your first three days of employment to complete new hire paperwork. Your supervisor will inform you of when and where this meeting will take place. If you want to get a jump start on your paperwork, you can do so by clicking on the links in Section 1 of the New Hire Checklist.

These completed forms can be turned in at your scheduled meeting with HR. During that meeting, you will complete the I-9 form (this needs to be completed with an HR representative, not beforehand). Please bring your I-9 documentation to this meeting. If you do not complete the direct deposit form beforehand, please also bring your direct deposit information (Bank Name, Routing, and Accounting Number) with you to this meeting.

Benefits & When They Begin

Within your first three days of employment, your supervisor will inform you when and where you will meet with a member of the Human Resources team to go over your benefits package.

If you are eligible for insurance benefits, the benefit will begin on the first of the month, following your first day of employment. Or, on the first day of the month, if you start work on the first. 

General Questions

Where do I go on my first day?

Prior to your first day, your College Dean or designated Doane representative will advise you of where to park, as well as when and where to meet on your first day. 

Dress Code

Our employees represent the face of the university to our students, alumni, and community. Our dress attire should reflect a professionally operated academic enterprise. Employees should dress in a clean, neat and modest fashion. 

Where can I find something to eat?

If you would like to bring your own meal or snacks from home, break areas are provided for employees typically including refrigerator/freezer, microwave and table space. Ask your department chair for details. Snacks and beverage vending machines are available in some areas, check with your department chair for the nearest location. There are various dining options are also available in the area surrounding campus. 

When do I get paid? 

Faculty will be paid on a monthly basis, on the last working day of each month. If you begin on, or after the 24th of the month check with Human Resources to see if your first pay date will be that same month or the next month. 

Where can I find out more on policies and procedures? 

New Faculty will be provided with a New Faculty Survival Guide, upon starting their position. You can access the Faculty Handbook via a Google Doc accessed with your Doane Email address. You can also access the Employee Handbook online If you are not able to find what you are looking for or need further clarification, contact Academic Affairs or Human Resources. 

What if I have more questions? 

If you have other questions that you would like answered before your first day, contact your College Dean or the Office of Academic Affairs. 

Network Access, Doane Email, Technology & Equipment

You will be provided with all the technical equipment that is required to perform your job. As a Doane employee, you will be provided with a Doane e-mail address and network access. Information on how to activate your email account along with your network username and password will be provided to you on your first day of employment. If you have specific questions or requests regarding your computer needs, please contact the Office of Academic Affairs.
