Directory Information Requests

General Release of Directory Information (Individual Inquiries)

Unless a student has opted for non-disclosure, individual pieces of directory information (e.g., confirming a student's enrollment status or major) may be released to third parties upon request. This typically applies to individual inquiries where specific pieces of information are sought, not comprehensive lists.


Policy Regarding the Release of Student Lists (Directory Information)

A. Restricted Release for Official University Business:

Lists of students containing directory information will only be released for purposes directly related to the official educational mission and legitimate interests of​ Doane Universit​y. Such purposes may include, but are not limited to:

  • Internal University Departments: For internal administrative purposes, academic advising, student support services, or recognized university events (e.g., commencement planning, departmental honors lists). These departments are expected to handle the information with the utmost confidentiality and only use it for the stated purpose.
  • Official University Organizations: Recognized student organizations, faculty committees, or administrative units requiring student lists for official university-sanctioned activities (e.g., student government elections, club rosters, academic program outreach).
  • Emergency Situations: In situations where the health or safety of the student or others is at risk, and the release of directory information is deemed necessary to address the emergency.

B. Prohibited Release to External Entities (Except as Noted Below):

​As a private institution, Doane is not required by the State of Nebraska (link: https://nebraskalegislature.gov/laws/statutes.php?statute=84-712.05​) to provide directory information​ about it's enrolled students.  As a general rule, ​Doane University will NOT provide lists of students containing directory information to external entities or individuals outside of the University for commercial, marketing, or solicitation purposes. This includes, but is not limited to:

  • Commercial businesses
  • Marketing firms
  • Political organizations
  • Researchers (unless specific, IRB-approved protocols are followed and individual student consent is obtained, or the data is de-identified)
  • General public requests for student lists

C. Exceptions for Limited External Release (Case-by-Case Basis):

In rare and specific circumstances, and only with the explicit approval of the Registrar, limited lists of directory information may be released to external entities under the following conditions:

  • Accrediting Bodies: For purposes of accreditation review and compliance.
  • Government Agencies: As required by law or in response to a lawful subpoena or court order.
  • University Affiliates/Partners (Under Contract): When a formal contract exists between the University and an external entity for services directly related to the University's educational mission. Such contracts will include strict FERPA compliance clauses.
  • Philanthropic Efforts (Alumni Relations): Limited directory information (e.g., name, major, graduation year) may be shared with the University's alumni office for engagement and fundraising purposes, but only with the understanding that such information will not be shared with third parties for commercial use.
