Student Employment Checklist

Congratulations on accepting your new on-campus job. We hope your new position will be both challenging and rewarding. Doane Human Resources is here to support you throughout the process.

Step 1: Complete the Required Paperwork 

Please complete the necessary payroll paperwork as soon as possible, incomplete paperwork will delay your paycheck. Bring your completed paperwork to the Human Resources Office.

If this is your first job on campus, you will need to complete and submit the following paperwork to the Human Resources Office. Please pay particular attention to the Form I-9 identification requirements.

If you are an international student, please also bring the following:

  • Your unexpired passport
  • Your current Form I-20
  • Your Form I-94

Even if you have worked on campus before, each job you hold on campus requires a Student Employment Hire Form completed by you and your supervisor and submitted to Human Resources. 

  • This is required each academic year so that Financial Aid can be awarded appropriately.
  • If you work on campus in the summer, a new form is required for each job, each summer.
  • In some cases, your supervisor may have already submitted this form to HR - check in with them to confirm that.

Step 2: Bring your paperwork to the Human Resources Office

We ask that ALL students limit their work hours to 17 hours per week, all jobs combined, to prioritize their studies and maintain their academic performance. 

For international students, this is also important for maintaining your lawful status in the United States (see below). While the F-1 visa regulations limit work hours to 20, planning to follow Doane's limit of 17 hours per week provides you with a safety cushion.

  • During the Fall and Spring semesters, international students are limited to 20 hours per week maximum.
  • During semester breaks, official school holidays, or summer vacations, they are allowed 21 hours or more.
  • F-1 students may not work on campus after completing a program unless they have obtained a new I-20 and plan to enroll in the following term in a new degree program.  (Such as starting a Master's degree after graduating with a Bachelor's). Step 3: You are ready to start working on campus!

Watch for an email from Human Resources with information about entering your hours in Kronos.
